Job Description<\/h3>\n<\/div>\n

The Northern California Chapter is one of the top 3 largest revenue producing chapters of Breakthrough T1D International.\u00a0 The person in this role will be an integral part of the staff team, coordinating a variety of meetings throughout the year to support the Chapter Board engagement and high-level donor cultivation.<\/p>\n

Reporting to the Director, Development Operations, this position provides executive coordination for the Executive Director, the Associate Executive Director, and the Donor Relations Officer.\u00a0 The primary areas of focus for the position are coordination for Board of Directors activities including but not limited to planning logistics for the quarterly meetings, the Annual Meeting, annual board survey, and a new board member orientation. As well, the person in this role executes logistics for donor cultivation receptions, donor meetings throughout the year, and Community Engagement\/Outreach events.\u00a0 Activities include venue identification, contract review, invitations and invitation lists, Zoom preparation, catering, and other duties as assigned. The person in this position will be a superuser of the Salesforce CRM and DOMO, ensuring that Chapter data, especially for our highest level supporters, is accurate and leveraged as a tool by the team for relationship management.\u00a0In addition to supporting Chapter leadership, this person will support the whole team with operational needs such as mail and donation processing, acknowledgment letters, and monitoring chapter email and voicemail. This person will be a high-energy, results-oriented, self-starting leader, capable of quickly taking control and assisting with needs across the chapter.<\/p>\n

The position is remote and supports Northern California. The expectation is that staff will be available for in-person meetings and other in-person gatherings as required and when safe to do so.\u00a0Occasional evening and weekend work required.<\/p>\n

Responsibilities Include:<\/strong><\/p>\n

Board of Directors<\/strong><\/p>\n

o\u00a0\u00a0 Support the Chapter Executive Director with logistics, meeting materials and Board of Director communications including quarterly meetings, Annual Meeting, board retreat and new board member orientation<\/p>\n

o\u00a0\u00a0 Coordinate and attend Board Meetings outside of standard office hours<\/p>\n

o\u00a0\u00a0 Maintain an accurate record of Board Member giving and solicited donations<\/p>\n

o\u00a0\u00a0 Serve as a point of contact in the Chapter for Breakthrough T1D information for Board Members<\/p>\n

o\u00a0\u00a0 Issue and compile results on annual board survey<\/p>\n

Donor Meetings & Cultivation Events<\/strong><\/p>\n

o\u00a0\u00a0 Organize logistics related to donor cultivation events held throughout the year, including invitation lists and invitations, venues, RSVP tracking, catering, nametags, etc.<\/p>\n

o\u00a0\u00a0 Interface with high level scientists\/chief executives on logistics related to their appearances at donor cultivation events<\/p>\n

Community Engagement\/Outreach<\/strong><\/p>\n

o\u00a0\u00a0 Organize logistics related to Community Engagement\/Outreach events held throughout the year, including invitation lists and invitations, venues, RSVP tracking, catering, nametags, data entry, etc.<\/p>\n

o\u00a0\u00a0 Interface with vendors on logistics<\/p>\n

Donor and Corporate Research<\/strong><\/p>\n

o\u00a0\u00a0 Build strong research profiles on donors \u2013 both short thumbnails and extensive research, depending on the need<\/p>\n

o\u00a0\u00a0 Support the Executive Director, Associate Executive Director, and Donor Relations Officer with projects related to major giving prospects and other special projects as assigned<\/p>\n

o\u00a0\u00a0 Maintain an updated list used for corporate development efforts<\/p>\n

o\u00a0\u00a0 Become a key source of donor information for Chapter staff and the executive team<\/p>\n

CRM<\/strong><\/p>\n

o\u00a0\u00a0 Maintain excellent account records on board and leadership giving donors including development activity and gift opportunity tracking.\u00a0 Record key account activity on behalf of the Executive Director and executive team, as needed<\/p>\n

o\u00a0\u00a0 Prepare donor data analysis for quarterly dashboard, and as needed throughout the year<\/p>\n

o\u00a0\u00a0 Pull reports or work with National team to build reports, as requested<\/p>\n

o\u00a0\u00a0 As Chapter Salesforce CRM Superuser, help teach the intricacies of the CRM and coach other team members on best practices for improved CRM use in the chapter<\/p>\n

o\u00a0\u00a0 Other duties, as assigned.<\/p>\n

Operations Support<\/strong><\/p>\n

o\u00a0\u00a0 Attend weekly virtual mail processing meetings, provide coding<\/p>\n

o\u00a0\u00a0 Respond to donation emails from National, provide coding<\/p>\n

o\u00a0\u00a0 Update Revenue Log and Stewardship Report weekly and send to the team<\/p>\n

o\u00a0\u00a0 Send donor acknowledgment letters weekly<\/p>\n

o\u00a0\u00a0 Monitor chapter email and voicemail<\/p>\n<\/div>\n<\/section>\n

Qualifications<\/h3>\n<\/div>\n

\u2022\u00a0\u00a0 \u00a0College degree required
\n\u2022\u00a0\u00a0 \u00a02+ years of office\/administrative experience required
\n\u2022\u00a0\u00a0 \u00a0Exceptional customer service skills are a must
\n\u2022\u00a0\u00a0 \u00a0Experience with planning cultivation receptions and dinners for high-level donors is a plus \u2022\u00a0\u00a0 \u00a0Experience preparing presentations, reports, and business correspondence
\n\u2022\u00a0\u00a0 \u00a0Excellent organizational skills as well as excellent written and oral communication skills required
\n\u2022\u00a0\u00a0 \u00a0Proficiency with Microsoft Word, Excel, Outlook and PowerPoint, Zoom, and Salesforce CRM are required<\/p>\n
